Before

Every month, someone made a new list by hand of the invoices that should come in, based on the work that was running. Then every incoming invoice was checked against that list, line by line. It took hours, it was easy to miss one, and it was hard to see whether the expected income had actually come in.

What I built

  1. Automated: At the start of each month, a new sheet is created automatically
  2. Automated: It lists the invoices to expect, based on the work that is running
  3. Automated: Every email with an invoice is processed into the sheet
  4. Automated: A dashboard shows which invoices are missing, and whether the expected income matches what actually came in
  5. A person decides: Only the exceptions are checked by a person

How it fits together

  1. Running work
  2. New sheet every month
  3. Invoice emails processed
  4. Dashboard: missing invoices and expected vs actual income
  5. A person checks the exceptions

The result

The manual check now only covers the exceptions that really need a person. It takes about 10% of the time it used to, saves many hours every month, and shows at a glance whether the income matches what was expected.
